(四)商务文书写作的特点与要素

1. 商务文书写作的特点。提炼出商务文书以下的特点:

简明

正所谓“句中无余字,篇内无赘语”,“简明”是商务文书首要特点。

准确

而所谓“准确”,就是要求商务文书要做到“一字入公文,九牛拔不出”,不要像“关门闭户掩柴飞”这样的表达一样将同样一个意思重复三次。在意思清楚的前提下,商务文书写作应追求尽量用一段话、一句话甚至是一个词将核心意思表达出来。

朴实

所谓“朴实”,就是指在商务文书写作中不要去刻意地堆砌辞藻,一代文豪白居易尚且不这样做,我们就更不必在这个方面显示自己的实力和水平了。

庄重

所谓“庄重”,是指在商务文书中对整体风格的把握不要过于诙谐幽默,太多的玩笑会极大地影响文书的严肃性。

规范

商务文书写作在很多方面还具有规范性强的特点,其中标点符号的规范性就尤为重要,但是却往往被大家所忽视。

2. 商务文书写作的要素

商务文书写作有以下四个要素:

主旨

所谓“主旨”,就是指商务文书的中心思想,即作者所要表达的意思。就是应该对方看到该商务文书后产生作者所希望的感受和行动。在主旨方面,应该遵循“正确、务实、集中、鲜明”的原则。

材料

好的商务文书不是一蹴而就,需要围绕作者的主旨来收集很多相关方面的素材。在材料方面,应该遵循“收集要多、选择要严、使用要巧”的原则。

结构

好的商务文书还应该具有良好的结构,否则会导致在不应该浪费笔墨的地方花费很多不必要的时间,而需要去强调的内容则被相应的弱化。在结构方面,可以选择“篇段合一式、分层表达式、分条列项式”等方式。

语言

如果说主旨、材料以及结构构成了商务文书的骨骼,那么在其中行文的语言就是对其进行填充和丰富的血肉。在语言方面,应该做到“风格平直朴实庄重、表达规范准确简练”,最低要求也必须进行拼写检查以保证用词的准确。

(一)商务文书的分类

在实际工作中,大家可能会遇到形形色色、各种各样的商务文书,根据其形式和内容用途可以大致将其划分为以下的类型:

1. 按形式来划分

以形式作为划分标准,商务文书可以大致分为以下两类:

固定格式的商务文书

常见的固定格式的商务文书主要有:商务合同、邀请信、通知、请示以及批复。相比较而言,这类商务文书的格式是有比较规范的要求的。

非固定格式的商务文书

而所谓非固定格式的商务文书,在日常工作中则往往应用得更为广泛,其中最为大家所熟悉的就是随着计算机和网络一起兴起的电子邮件。

2. 按内容用途来划分

以内容以及用途作为划分标准,商务文书则又可以分为以下两类:

通用的商务文书

常见的通用商务文书主要有:通知、会议纪要、请示、批复、总结、备忘录以及报告等。由于相对于礼仪性商务文书而言,这些文体使用得更为频繁,所以在课程后面的内容中将对它们的写作方法进行专门的讨论。

礼仪性的商务文书

而所谓礼仪性的商务文书,则主要是指贺信、贺电、邀请书、请柬以及慰问信。

(二)商务文书写作的作用

正如前文所提到的,商务文书写作是很多人工作的一部分;而每个人工作首先都是有私心的`,即工作首先是为了生存而不是为了做出贡献,然后再将私心通过公心来实现——公司或单位好,个人才可以好。因此,商务文书写作对于更好地完成大家的工作是非常重要的。

《福布斯》杂志的创始人——马尔克姆·福布斯曾经说“一封好的商务信函,可以让你得到一次面试的机会,帮助你摆脱困境,或者为你带来财富”。也就是说,写好商务文书在一定程度上能够给大家带来很大的经济利益。

单向沟通的表现

日常工作生活中有很多陷入单向沟通的例子,比如说短信。在一般情况下,无论对方是否想接收短信,只要手机开着他就会收到,并且往往根据他自己当时的心情去诠释短信的内容。而发送人的心情则通常难以得到传递,由此而引发不必要的误会和误解。

马上就要回去过年了,可学习不能荒废啊,利用本周末时间把“商务文书的写作技巧”这堂课学完了,结业考试成绩为八十七分,错了两道题。培训讲师闫静,授课优点:课程演练与互动较多;不足点:在提出问题时,未充分调动学员的积极性,导致问题抛出去后得不到学员的及时回应。以下是我在听课时做的一些重要知识块的笔记,供大家参考。

商务文书 按形式来划分可以大致分为两类:固定格式的商务文书(如商务合同、邀请信、通知、请示以及批复)和非固定格式的商务文书(如电子邮件);按内容用途来划分也可以分为两类:通用的商务文书(如通知、会议纪要、请示、批复、总结、备忘录以及报告)和礼仪性的商务文书(如贺信、贺电、邀请书、请柬以及慰问信)。

商务文书的作用和最终目的是为了与别人进行某种形式的交流与沟通。而这种沟通并不仅仅是所传递出来的信息,而是被别人理解的信息。而怎么样才能让别人真正理解你的意思而达成你的目标,就需要我们在撰写商务文书时注重它的五大特点:简单直白、准确、朴实、庄重、规范。其中在考量其庄重程度时,我们可以先问自己三个问题:1、你跟对方熟吗?2、对方的职位比你高吗?3、传递的是好消息吗?如果否定的答案越多,庄重的程度就应越大。商务文书撰写有四个要素:主动目标、素材、结构、语言。如果商务文书撰写的仅仅是你的意愿,那是被动目标;如果商务文书撰写能得到别人的行动才是主动目标。

商务文书撰写的六个步骤为:1、制定正确的行动目标;2、决定文章的正式程度(正式程度的表现:形式、称谓、语气);3、设定文章的总体风格(我们可以把文章的总体风格分为四类,第一类是简单型:资源充足且立场一致,我们撰写时罗列事实,短文即可;第二类是说服型:资源充足但立场不一致,我们撰写时需强调利益所在,并且要多次沟通;第三类是解决问题型:资源不充足但立场一致,我们撰写时需有问必答,较长篇幅;第四类是艰难型:资源不充足立场也不一致,这类就不值得我们花费精力了。)4、选择文章的.层次结构(连贯式:重点在解释事情的前因后果,造应于事故调查报告、工程进展报告、程序安装等;并列式:重点在要便于读者照其兴趣或关注的重点分段阅读,造应于报告、总结、建议书;分析问题式:重点在围 绕问题直到最终解决的逻辑关系而展开,适应于公告、通知等;问答式:适应于企业内刊、内部通讯、操作程序等;行动结果式:适应于广告宣传等。)5、列出文章大纲;6、撰写初稿。

商务文书的写作技巧主要有六个方面:1、增加情感指数(就是增加对读者的关注度,情感指数的计算方式为:用在商务文书中提到目标读者的次数减去提到撰写者的次数。增加情感指数的方法有:1、增加每二人称代词,如您、您们;2、增加第三人称专有代词,如消费者、纳税人、员工、大家等;3、增加读者的姓名;4、增加对读者的暗指,如请坐、请放心等。)2、努力做到“读者为尊”;3、进行有效反馈(如正面反馈、修正性反馈等);4、增加商务文书的时间紧迫性(时间的规范、准确、通用);5、增加可性度;6、做到行文简洁(有五种方式:采用电报文体、另加附件、词句力求简单、多用主动语式、适当运用缩略词。)

Art. 1 Territory and Products第一条 地区与产品

1.1. The Principal appoints the Agent, who accepts, as his commercial agent to promote the sale of the products listed in Annex 1, §1 (hereinafter called “the Products”) in the territory defined in Annex 1, §2 (hereinafter called “the Territory”).

1.2. Art. 3 Agent's functions 第三条 代理人的职责

3.1. The Agent agrees to use his best endeavours to promote the sale of the Products in the Territory in accordance with the Principal's reasonable instructions and shall protect the Principal's interests with the diligence of a responsible businessman.

3.2. The Agent shall not solicit orders from outside the Territory unless permitted to do so by the Principal. E.g. for goods to be sold to subsidiary established in another country: the agent is acting within his territory, hat the sale is made to a foreign customer, and the agent would have (in absence of article 15.2) no right to commission.

3.3. Unless otherwise specifically agreed, the Agent has no authority to make contracts on behalf of, or in any way to bind the Principal towards third parties. He only solicits orders from customers for the Principal, who is free (save as set forth in article 4.2. hereafter) to accept or to reject them. The other alternative, i.e. to give the agent the authority to conclude contracts on behalf of the principal has not been considered in the model form, since it is rather uncommon in international trade. Of course, if the parties have special reasons for permitting the agent to make contracts on behalf of the principal, they can so provide in article 3.3. It should be noted that in certain cases the third party (customer) may rely on the apparent authority of the agent this means that, especially in legal systems where it is common that the agent is authorized to act on behave of the principal, the exclusion of any such authority provided for in the contract between principal

and agent (like art. 3.3. of this model form) does not necessarily bind a third party which had good reasons to rely on the apparent authority of the agent. It is, therefore, recommended that the principal avoids any action which may give third parties the impression that the agent has representative powers, and that he informs, if necessary and possible, third parties that the agent has no authority to bind the principal.
